Job description
As an Executive PA the operational side of this position requires admin, accuracy and strong attention to detail; you will be a well-organised individual with the ability to multitask on various levels. Responsible for all private/confidential matters, secretarial and filing. This includes typing and the management of telephone calls, visitors, appointments, travel arrangements, confidential filing and delegated routine correspondence.
Key responsibilities
• Diary management for two Executives
• Screening of calls and e-mails
• Office management
• Dealing with various business stakeholders
• Maintain manual and electronic filing systems
• Coordinate and manage various administrative tasks (meeting scheduling, workshop/conference planning, coordination of board reports)
• Ordering and managing stationery requirements
• Provide general assistance to directors – where necessary out of office duties i.e. shopping, etc.
• Prepare presentations and coordinate functions or events
• Travel Arrangements for both executives
• Develop and support an effective, cooperative working relationship with the Executive teams and the rest of the business
• Interact confidently with people at all levels in the business
• Back up support in general office management
Requirements
• Matric
• Secretarial diploma
• Minimum Five years of PA experience at executive management level
• Good command of both written and verbal English, including business writing ability
• Excellent computer skills (MS Office: MS Excel, MS Outlook, MS Word and MS PowerPoint)
• Organisational and presentation skills
• Good interpretation and problem-solving skills
• Client service orientation
• Ability to manage expectations
• Self-motivated with the ability to work without supervision
• Excellent time management skills
• Well organised and systematic. Ability to prioritise tasks and follow-up administratively across divisional teams
